Role Description The Office Secretary is a full-time, on-site role based in Nairobi County, Kenya. This role is responsible for managing day-to-day clerical and administrative tasks, including handling correspondence, maintaining office records, scheduling meetings, and organizing files. The Office Secretary will support executives and project teams by preparing documents, arranging appointments, coordinating travel, and ensuring smooth office operations. The role includes responding to inquiries, welcoming visitors, and providing professional customer service to internal and external stakeholders. The Office Secretary is expected to maintain confidentiality, uphold organizational standards, and contribute to a well-organized and efficient office environment.
Qualifications
• Candidates should possess strong clerical skills, including filing, data entry, document preparation, and record management.
• Candidates should possess excellent communication skills, both written and verbal, for interacting with staff, partners, and visitors.
• Candidates should possess company secretarial work skills, such as preparing meeting agendas, taking minutes, and maintaining official records.
• Candidates should possess executive administrative assistance skills, including calendar management, travel coordination, and meeting logistics.
• Candidates should possess customer service skills, with the ability to handle inquiries, support visitors, and respond professionally to stakeholders.
• Proficiency in office software (e.g., word processing, spreadsheets, email, and document management systems).
• Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks in a busy office environment.
• Ability to work collaboratively in a diverse team, maintain confidentiality, and demonstrate reliability and integrity.
• Prior experience in an administrative or office support role is preferred; experience in nonprofit or community development settings is an advantage.
• Relevant diploma or degree in business administration, office management, or a related field is beneficial.
