Virtual Operations Assistant

Work Schedule & Compensation

30 Hours per Week

Management Schedule (EST):

Tuesday: 6:00 AM – 2:00 PM EST

Wednesday: 6:00 AM – 2:00 PM EST

Saturday: 4:00 PM – 11:00 PM EST

Sunday: 4:00 PM – 11:00 PM EST

Days Off

Monday

Thursday

Friday

Position Summary

We are seeking a highly organized and proactive Virtual Operations Assistant to support daily operational activities, scheduling coordination, caregiver and client communications, recruiting efforts, and administrative functions. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent problem-solving skills, and maintain a high level of professionalism while managing multiple priorities.

Key Responsibilities

Coordinate and maintain caregiver schedules to ensure all client shifts are adequately staffed.

Serve as a primary point of contact for caregivers and clients, providing timely, professional, and effective communication.

Support recruiting and hiring activities, including candidate follow-up, interview coordination, and administrative tasks.

Monitor daily operations and quickly resolve scheduling conflicts, shift coverage issues, and last-minute changes.

Maintain accurate documentation and records across multiple software platforms.

Handle confidential healthcare information while adhering to HIPAA guidelines.

Complete administrative duties accurately and efficiently.

Provide exceptional customer service and operational support to ensure quality care delivery.

Collaborate with internal teams to support operational efficiency and continuity of service.

Requirements & Qualifications

Required

Minimum of 1 year of experience in an administrative, scheduling, operations, or coordination role.

Experience with AxisCare (required).

Knowledge and understanding of HIPAA regulations (required).

Strong computer proficiency and ability to quickly learn new software and systems.

Experience with scheduling and calendar management.

Excellent written and verbal communication skills in English (B2 level minimum).

Professional phone communication and customer service skills.

Ability to manage sensitive and confidential information.

Strong organizational, multitasking, and problem-solving abilities.

Fast and accurate typing skills.

Preferred

Previous experience in the Home Care Industry.

Experience working remotely in a fast-paced operational environment.
